Getting Started & Organization Setup

Guide for setting up your organization on the platform

Overview

The organization profile is the first thing employees see when they access the platform. Through branding settings, you can customize the platform appearance to reflect your organization's identity.

Setup Steps

  1. Access Settings: From the sidebar, select "Settings" then "Branding".
  2. Upload Logo: Upload your organization logo in PNG or JPG format. Transparent background is recommended.
  3. Cover Image: Add an attractive cover image that appears at the top of the dashboard.
  4. Favicon: Upload a small icon that appears in the browser tab.
  5. Colors: Choose your organization's primary, secondary, heading, and text colors.
  6. Fonts: Select the appropriate font from available Arabic fonts (Cairo, Tajawal, Almarai, etc.).
  7. Contact Info: Add the website URL and organization address.

Important Notes

  • Ensure the logo is high resolution for clear display.
  • Selected colors will reflect across all employee interfaces.
  • You can preview changes before saving.

Overview

You can link your organization's social media accounts to display them in the organization profile, making it easy for employees to access them.

  • YouTube — Organization channel

Linking Steps

  1. Go to "Settings" → "Social Media Accounts".
  2. Add each account link in its designated field.
  3. Click "Save" to update the information.

Overview

Nexus platform operates on a modular system where you can enable or disable services based on your organization's needs and subscription plan.

How to Activate

  1. Go to "Settings" → "Services".
  2. A list of all available services in your subscription will appear.
  3. Enable or disable each service as needed.
  4. Disabled services will not appear in employee menus.

Overview

Quick Links allow you to add shortcuts to external systems or important websites that appear to employees on their dashboard.

Creation Steps

  1. Go to "Quick Links" from the sidebar.
  2. Click "Add New Link".
  3. Enter the link name (Arabic and English), URL, and choose an icon.
  4. Set the target audience: All, specific departments, specific roles, or specific users.
  5. Choose whether the link opens in a new tab.
  6. Set the order and click "Save".

Notes

  • You can add a custom logo for each link.
  • Links appear in the specified order.
  • Any link can be temporarily disabled without deletion.

User Management & Permissions

Overview

You can manually add employees to the platform through the creation form, or wait for self-registration requests.

Addition Steps

  1. Go to "Users" from the sidebar.
  2. Click "Add New Employee".
  3. Enter required data: Name (Arabic/English), email, employee number.
  4. Select department and job title.
  5. Set a temporary password for the employee.
  6. Click "Save" to create the account.

Notes

  • The employee will receive a notification about their account creation.
  • You can assign roles to the employee directly upon creation.
  • Email must be unique within the organization.

Overview

When self-registration is enabled, employees can submit join requests to the platform. You will need to review these requests and approve or reject them.

Review Steps

  1. Go to "Join Requests" from the sidebar.
  2. A list of pending requests with each applicant's data will appear.
  3. Review the request data (name, email, requested department).
  4. Click "Approve" to accept or "Reject" to decline the request.

Notes

  • Approved requests will automatically convert the applicant to an active employee.
  • The applicant receives a notification about their request result.

Overview

You can control each employee's status: activate, suspend, or delete. You can also impersonate an employee to preview their experience.

Available Statuses

  • Active: Employee can log in and use the platform.
  • Suspended: Employee cannot log in but data is preserved.
  • Deleted: Permanently remove the employee.

Impersonation

The "Impersonate" feature allows you to log in as a specific employee to see exactly what they see. This is useful for testing permissions and ensuring correct content visibility.

Overview

The roles system allows you to define what each employee can do on the platform. You can create custom roles with specific permissions.

Role Creation Steps

  1. Go to "Roles & Permissions" from the sidebar.
  2. Click "Create New Role".
  3. Enter the role name (Arabic and English).
  4. Set permissions for each module: view, create, edit, delete.
  5. Click "Save".

Default Roles

  • Admin: Full permissions on all modules.
  • Editor: Content creation and editing permissions.
  • Viewer: View-only permissions.

Overview

After creating roles, you can assign them to employees to define their permissions on the platform.

Assignment Steps

  1. Go to "Users" and open the employee profile.
  2. In the "Roles" section, select appropriate roles.
  3. You can assign more than one role to the same employee.
  4. Click "Save" to apply changes.

Notes

  • Permissions are combined from all assigned roles (highest permission applies).
  • Role changes take effect immediately on the next login.
  • System default roles cannot be deleted.

Organization Structure

Overview

The organizational structure is built by creating departments and divisions hierarchically. You can create multi-level main and sub-departments.

Creation Steps

  1. Go to "Org Structure" → "Departments".
  2. Click "Add New Department".
  3. Enter the department name (Arabic and English).
  4. Select the parent department (if it's a sub-department) or leave empty for a main department.
  5. Set the department level.
  6. Click "Save".

Notes

  • Multiple sub-levels can be created (Division → Department → Unit).
  • Deleting a department requires transferring its employees first.
  • You can view the structure as a complete organizational tree.

Overview

Department levels define the hierarchical sequence of your organizational structure. You can define custom levels that suit your organization.

Level Examples

  • Level 1: General Directorate / Sector
  • Level 2: Department / Branch
  • Level 3: Division / Unit

Setup Steps

  1. Go to "Org Structure" → "Department Levels".
  2. Add levels in order from highest to lowest.
  3. Enter each level name (Arabic and English).

Overview

Job titles define the professional role of each employee. You can create job titles and job title levels.

Title Levels

  • You can define custom levels (e.g., C-Level, Executive Director, Manager, Section Head, Employee).
  • Levels help determine hierarchy and access permissions.

Overview

The organizational tree provides a complete visual representation of your organization's structure, from top to bottom.

How to Use

  1. Go to "Org Structure" → "View Tree".
  2. The complete structure will display as an interactive tree.
  3. Click on any department to expand and show sub-departments.
  4. You can see the employee count in each department.

Content Management

Overview

The News section allows you to publish the latest updates and important events for your employees. It supports bilingual content, images, and categories.

Creating a New Article

  1. Go to "News" from the sidebar.
  2. Click "Add New Article".
  3. Enter the news title (Arabic and English).
  4. Write the content using the rich text editor.
  5. Upload a featured image.
  6. Select the appropriate category.
  7. Set the publish status: draft or published.

Additional Options

  • Pin Article: Keeps the article at the top of the list.
  • Feature Article: Displays the article prominently.
  • Categories: Categorize news for easier browsing.

Overview

Circulars are official organizational announcements. They feature automatic numbering, priority levels, and attachment support.

Issuing a Circular

  1. Go to "Circulars" from the sidebar.
  2. Click "Issue New Circular".
  3. A sequential number will be automatically assigned.
  4. Enter the circular title and content (Arabic and English).
  5. Set the priority level: Normal, Important, or Urgent.
  6. Attach any necessary files.
  7. Set the effective date.
  8. Click "Issue" to publish.

Priority Levels

  • Normal: Routine circular.
  • Important: Requires special attention.
  • Urgent: Requires immediate response.

Overview

The Knowledge Base is a digital library for your organization containing reference articles and documents organized by categories.

Creating a Knowledge Category

  1. Go to "Knowledge Base" → "Categories".
  2. Click "Add Category".
  3. Enter category name (Arabic and English) and description.
  4. Select parent category if it's a sub-category.

Creating a Knowledge Article

  1. Go to "Knowledge Base" → "Articles".
  2. Click "Create New Article".
  3. Enter title and content (Arabic and English).
  4. Add a featured image and attachments.
  5. Add tags for easy searching.
  6. Set visibility: All, specific departments, specific job titles, or specific users.
  7. You can pin or feature the article.

Article Management

  • Publish: Article appears to the defined audience.
  • Archive: Article is hidden but not deleted.
  • Unpublish: Returns to draft state.

Overview

Categories help organize content and facilitate browsing. You can create categories for each type of content.

Category Types

  • News Categories: Classify news by topic.
  • Circular Categories: Classify circulars by type.
  • Calendar Categories: Classify events and activities.
  • Invitation Categories: Classify events and invitations.
  • Occasion Categories: Classify social occasions.

Creation Steps

  1. Go to "Categories" from the sidebar.
  2. Choose the category type to create.
  3. Click "Add New Category".

Calendar & Events

Overview

The Calendar allows you to create important events and appointments visible to all employees or specific departments.

Creating an Event

  1. Go to "Calendar" from the sidebar.
  2. Click on the desired date or click "Add Event".
  3. Enter the event title (Arabic and English).
  4. Set the start and end date/time.
  5. Choose a distinctive color for the event.
  6. Select the event category.
  7. Set target departments (or All).
  8. Click "Save".

Calendar View

  • Navigate between months using arrows.
  • Events appear with their distinctive colors on the calendar.
  • Click any event to view its details.

Overview

Invitations allow you to create events and send invitations to employees with RSVP functionality.

Creating an Invitation

  1. Go to "Invitations" from the sidebar.
  2. Click "Create New Invitation".
  3. Enter event details: title, description, date, location.
  4. Upload an event image (optional).
  5. Set the audience: specific departments, roles, or users.
  6. Set the RSVP deadline.
  7. Select the invitation category.
  8. Click "Send".

Tracking Responses

  • You can see who accepted, declined, or hasn't responded.
  • Invitees receive notifications about the invitation.

Overview

Employees can request to create calendar events. As an admin, you need to review these requests and approve or reject them.

Review Steps

  1. Go to "Event Requests" from the sidebar.
  2. A list of pending requests will appear.
  3. Review each request details: title, date, description.
  4. Click "Approve" to create the event or "Reject" with a comment.

Notes

  • Approved requests automatically become calendar events.
  • The employee receives a notification about their request result.
  • You can modify event details before approving.

Communication & Community

Overview

The chat system allows employees to communicate through individual or group messages. As an admin, you can monitor and manage all conversations.

Management Capabilities

  • View Conversations: See all individual and group conversations.
  • Statistics: Message count and participant count per conversation.
  • Archive: Archive old or inactive conversations.
  • Delete: Delete specific conversations or messages.

Notes

  • Employees can create individual chats, group chats, and channels.
  • Supports file and image sharing.
  • All messages are saved and searchable.

Overview

Social occasions strengthen employee bonds by sharing events like birthdays and work anniversaries.

Managing Occasions

  1. Go to "Social Occasions" from the sidebar.
  2. Current and upcoming occasions will appear.
  3. Review pending occasions and approve or reject them.
  4. You can add comments and reactions.

  6. Add QR code (optional).
  7. Customize element positioning and fonts.

Surveys allow you to collect employee opinions and assess satisfaction on various topics.

Creating a Survey

  1. Go to "Surveys" from the sidebar.
  2. Click "Create New Survey".
  3. Enter survey title and description (Arabic and English).
  4. Add a cover image (optional).
  5. Create questions of different types.
  6. Set the target audience (specific departments or all).
  7. Choose if the survey is anonymous.

Design Setup

  4. Design the front: background (color/gradient/image), text colors, organization logo.

Ideas & Innovation

Innovation programs allow you to launch initiatives to collect creative ideas from employees on specific topics or challenges.

Creating a Program

  1. Go to "Ideas" → "Programs" from the sidebar.
  2. Click "Create New Program".
  3. Enter program name and description (Arabic and English).
  4. Set start and end dates.
  5. Set target audience: All, specific departments, roles, or users.
  6. Enable/disable idea submissions.
  7. Set maximum ideas per user (optional).

Program Settings

  • Submission Period: Define the idea collection timeframe.
  • Idea Limit: Set maximum ideas per employee.
  • Audience: Define who can participate.

Overview

The multi-stage evaluation system allows you to create an organized review process for submitted ideas.

Creating an Evaluation Stage

  1. Open the desired program.
  2. Go to the "Stages" section.
  3. Click "Add Stage".
  4. Enter the stage name and description.
  5. Set evaluation settings (evaluation criteria).
  6. Set the minimum required approvals.
  7. Choose whether the stage allows revision requests.
  8. Define if this is the final stage.

Assigning Evaluators

  • Add employee evaluators for each stage.

As an admin, you can review all submitted ideas and track their progress through evaluation stages.

Managing Ideas

  1. Go to "Ideas" → "All Ideas".
  2. Use filters: by program, status, stage.
  3. Open any idea to view details and evaluation history.

Admin Actions

  • Force Approve: Accept the idea directly, bypassing evaluation stages.
  • Force Reject: Reject the idea directly.
  • Request Revision: Return the idea to the submitter for modifications.
  • Track: Monitor idea progress through stages.

Available Statuses

  • Submitted: New idea awaiting review.
  • Under Review: Currently being evaluated.

The statistics dashboard provides a comprehensive view of innovation program performance and employee participation.

Available Statistics

  • Total Ideas Submitted: Total count across all programs.
  • Approved Ideas: Number of accepted ideas.
  • Rejected Ideas: Number of declined ideas.
  • Under Review: Ideas still in review stages.
  • Participation Rate: Percentage of participating employees from total target.

How to View

  1. Go to the main dashboard.
  2. The "Ideas" section shows a quick summary.

Development & Engagement

Overview

The mentorship program connects experienced employees (mentors) with new or development-seeking employees (mentees).

Program Setup

  1. Go to "Mentorship" → "Settings".
  2. Enable the mentorship program.
  3. Set the configurations:
    • Duration: Mentorship relationship duration in months.
    • Sessions: Minimum sessions per month.
    • Experience: Minimum years of experience for mentors.
    • Approval: Whether admin approval is required for relationships.

Creating an Offer

  1. Go to "Offers" from the sidebar.
  2. Click "Create New Offer".
  3. Enter offer details: title, description, terms (Arabic and English).

  5. You can exclude specific users.
  6. Set the number of allowed redemptions (optional).

Overview

To start using the platform, you first need to create your account or log in if your account is already set up.

Self-Registration

  1. Go to the platform's main page.
  2. Click "Register" or "Create Account".
  3. Enter your details: name, email, password.
  4. Select your organization from the list.
  5. Submit the join request.
  6. Wait for the organization admin's approval.

Logging In

  1. Click "Login" on the main page.
  2. Enter your email and password.
  3. Click "Sign In".

Password Recovery

  1. Click "Forgot Password?" on the login page.
  2. Enter your email address.
  3. You'll receive an email with a reset link.
  4. Enter your new password.

Overview

Your profile contains your professional data and contact information. You can edit some data yourself.

Viewing Your Profile

  1. Click on your name or photo at the top of the page.
  2. Select "Profile".
  3. Your complete data will appear: name, department, job title, contact info.

Editing Data

  • Click "Edit" to update your information.
  • You can edit: profile photo, phone number, email.
  • Some data (like department and title) can only be changed by the admin.

Overview

The news section displays your organization's latest updates, events, achievements, and decisions.

Browsing News

  1. Click "News" from the top or side menu.
  2. News articles will appear sorted from newest.
  3. Pinned articles always appear at the top.
  4. Click any article to read full details.

Filtering & Search

  • Use categories to filter news by topic.
  • Use the search box to find specific articles.

Overview

Circulars are official announcements from the organization management. They contain important decisions and directives that you should review.

Viewing Circulars

  1. Click "Circulars" from the menu.
  2. Circulars appear sorted by date.
  3. Note the priority level: Normal (blue), Important (orange), Urgent (red).
  4. Click a circular to view full details.

Attachments

  • Some circulars contain attached files.
  • Click the attachment to download it directly.
  • You can filter by category and priority.

Calendar & Invitations

Overview

The calendar displays all important events and appointments in your organization.

Using the Calendar

  1. Click "Calendar" from the menu.
  2. The current month view will appear with colored events.
  3. Use arrows to navigate between months.
  4. Click any event to view details: title, time, location, description.

Filtering

  • You can filter events by category.
  • You can filter by department.
  • Events appear in different colors based on their type.

Overview

When you are invited to an event, you'll receive a notification and will need to confirm your attendance or decline.

Responding to an Invitation

  1. Click "Invitations" from the menu or open the notification.
  2. View invitation details: event, date, location, description.
  3. Click "Accept" to confirm or "Decline" to apologize.
  4. Note the RSVP deadline.

Notes

  • You can change your response before the deadline.
  • Accepted invitations appear in your calendar.
  • You'll receive reminders before the event.

Communication & Communities

Overview

The chat system allows you to communicate with colleagues directly through instant messages.

Conversation Types

  • Direct Message: Private messages between you and a colleague.
  • Group Chat: Multiple colleagues in one conversation.

Sending a Message

  1. Click "Chat" from the menu.
  2. Select an existing conversation or create a new one.
  3. Type your message in the text box.

  • You can delete your own messages.
  • All messages are saved and can be revisited.

Communities are interactive spaces for employees to share ideas and discussions on common topics.

Joining a Community

  1. Click "Communities" from the menu.
  2. Browse available communities.

Participating in Discussions

  • Share posts and content with the community.
  • Like and comment on colleagues' posts.

Social occasions allow you to share and follow your colleagues' celebrations.

Guide for submitting ideas and participating in surveys

Overview

You can contribute your creative ideas through the available programs on the platform.

Submitting an Idea

  1. Click "Ideas" from the menu.
  2. Select the appropriate program from active programs.
  3. Click "Submit New Idea".
  4. Enter the idea title and detailed description.
  5. Add any supporting attachments (optional).
  6. Click "Submit".

Tracking Your Idea

  • Submitted: Idea was sent successfully.
  • Under Review: Evaluators are reviewing your idea.
  • Needs Revision: Modifications requested — you can edit and resubmit.
  • Approved: Your idea has been accepted.
  • Rejected: Not approved — you can view rejection reasons.

Overview

If you are assigned as an evaluator in an innovation program, you'll need to review and evaluate the ideas assigned to you.

Evaluation Process

  1. You'll receive a notification when ideas are assigned for evaluation.
  2. Go to "Ideas" → "My Evaluations".
  3. Open the idea and read the details.
  4. Provide your evaluation based on stage criteria.
  5. Add your comments and notes.
  6. Choose: Approve, Reject, or Request Revision.

Notes

  • Make sure to evaluate all assigned ideas within the deadline.
  • You can request revisions from the idea submitter before making a final decision.

Overview

Surveys are tools for collecting your opinion on various topics. Your participation is important for improving the work environment.

Participating in a Survey

  1. You'll receive a notification when a new survey is published.
  2. Click "Surveys" from the menu or open the notification.
  3. View the survey details and description.
  4. Answer all required questions.
  5. Click "Submit" to send your responses.

Notes

  • Some surveys are anonymous — your identity won't be revealed.
  • Required questions are marked with an asterisk (*).
  • Some surveys allow you to view results after participating.
  • You cannot modify your answers after submission.

Knowledge Base

Overview

The Knowledge Base is a comprehensive digital library containing reference articles and documents related to your organization.

Browsing Articles

  1. Click "Knowledge Base" from the menu.
  2. Browse available categories.
  3. Click a category to view its articles.
  4. Click an article to read the full content.

Searching

  • Use the search box at the top of the page.
  • Search by title or keywords.
  • Use tags to filter related articles.

Notes

  • Pinned articles appear at the top.
  • Some articles may be restricted to specific departments or job titles.
  • Content is available in Arabic and English.

Overview

Downloading Attachments

  1. Open the desired article.
  2. Scroll down to the "Attachments" section.
  3. Click the file name to download it.
  4. The file will download directly to your device.

  • Compressed files: ZIP, RAR

The mentorship program allows you to learn from more experienced colleagues through an organized mentoring relationship.

Finding a Mentor

  1. Click "Mentorship" from the menu.
  2. Browse the list of available mentors.
  3. View each mentor's profile: expertise, session types, availability, rating.
  4. Click "Request Mentorship" on the suitable mentor.
  5. Wait for the mentor's approval (and admin approval if required).

During the Mentorship

  • Sessions: Schedule sessions with your mentor (online or in-person).
  • Goals: Set goals with your mentor and track progress.
  • Reviews: Submit periodic progress reviews.
  • Rating: Rate your mentor at the end of the mentorship period.

Notes

  • You can view your past mentorship history.
  • Commit to the minimum monthly sessions.

  1. Click "Offers" from the menu.

  • Employees: Search by name, email, or department (with contact info).
  • Documents: Search in knowledge base articles and files.
  • Communities: Search in communities and discussions.

Overview

You can browse your organization's complete organizational structure to learn about departments, divisions, and colleagues.

Browsing the Structure

  1. Click "Org Structure" from the menu.
  2. The complete organizational tree will appear.
  3. Click any department to expand and see sub-departments.
  4. You can see employees in each department.

Available Information

  • Department and division names.
  • Hierarchical structure.
  • Employee directory by department.
  • Job titles and levels.
